However, for this program to be implemented smoothly and efficiently, thousands of employees would need to try on, order and receive uniforms on a tight timeline. "We really felt SmartScrubs was the best prepared to do that out of all the companies we talked with," Thoman says. Solutions As part of its uniform program powered by SmartScrubs, NCH provided 2,757 of its employees with a designated number of uniform sets based on their job title. Step 1: Conduct an on-site fitting. Over the course of five days, a SmartScrubs customer service team helped nearly 2,000 employees try on various uniform styles and sizes and place their initial order. Step 2: Arrange for a simple and efficient delivery. SmartScrubs bundles each employee's order individually and clearly labels it with their name. Bundles were boxed by department and shipped to each department director. "The delivery went great," Thoman says. "Everything was packaged appropriately, very easy for us to distribute to the department directors." Step 3: Ensure employees have the ability to easily continue to order from their approved assortment of styles, in their assigned color, with the correct logo for their location. SmartScrubs set up an online uniform portal that allows each employee to log in and click on a button that shows them their own approved assortment of uniform options. In addition, employees made use of the Fitting Edge app for easy mobile ordering. And on March 18, SmartScrubs and NCH launched payroll deduction as a convenient payment option for uniforms purchased through SmartScrubs. Step 4: Communicate the details of the program to patients and their families. NCH determined the best way to do this was through SmartScrubs' custom-designed "Get to Know Your Caregivers" brochure to be handed out and included in new patient packets. They placed an initial order of 10,000. Results Uniform programs are often not initially popular with staff, and NCH was no different. "But now, the dust has settled, things are good," Thoman chuckles. "We actually receive comments from employees that they think it looks professional, it was a good decision to make, there's pride in wearing the logoed scrubs and in having the patients know which caregivers are nurses vs. techs, [for example]." NCH has also received positive letters about the uniform program from patients, according to Thoman, and says board members are very pleased. "And of course to see them out as they're doing their errands before or after work, with their scrubs and the branding for NCH, I think it's very positive," Thoman adds. The new uniform program will also play a role in NCH's bid for magnet status, according to Thoman, as patients will now be able to more easily identify their caregivers. "Patient satisfaction is extremely important as part of the magnet journey," explains Thoman, who also acknowledges caregiver identification as an added benefit for patient safety. As the dust continues to settle and administrators measure the effects of their new uniform program, Thoman takes time to reflect. "It was a great experience for us. Really very painless. It could have been a much bigger deal, and it wasn't; it was a very efficient process," she continues. "And they look good!" "Our account manager went above and beyond to make sure that the uniform implementation process from start to finish was seamless. He has been valuable in offering suggestions or changes that help improve our original implementation plan. In short, the service he provided and continuously provides us on behalf of SmartScrubs is one of a partner, not just a vendor.
